Built for the awkward parts

  • Holds, not hopes. Checkout takes a short-lived inventory hold that converts on payment, releases on abandonment and expires on its own.
  • Concurrency handled properly. Bookings, heats, seats, gift cards and stock all carry row versions, so simultaneous writes collide loudly instead of silently overselling.
  • Peak, off-peak and member pricing as effective-dated rules per resource or resource type — not a single price field.
  • Requirements resolved before checkout. Waivers, age and height limits, licence tiers and guardian consent are checked at booking, not discovered at the counter.
  • Groups are first class. Multi-activity carts, per-participant details, pre-arrival onboarding links and driver rotations for parties larger than your bay count.
  • Abandoned payments reconcile themselves. A sweeper asks the processor what really happened, then either keeps the booking or releases the inventory.

And because guests will increasingly arrive through an AI assistant rather than a browser tab, VenueChief ships an MCP server so an agent can check availability and book — without being able to skip a check a human could not skip.

  • 100 public endpoints, 35 scopes. API keys with IP allow-lists, browser-safe widget tokens that are origin-locked, idempotency keys and RFC 7807 errors.
  • Thirteen signed webhook events with HMAC signatures, a six-attempt retry ladder, delivery history and one-click replay.
  • Nine embeddable components. Drop <vuc-booking> onto any site — shadow-DOM isolated, themeable, no iframe.
  • Agent permissions are deny-by-default. Grants list exact actions, carry a risk ceiling and a spend cap, and are revocable. A financial action with no cap is refused.

Every practice below is real and common in business software. We are not naming anyone — you may well recognize some of it from a contract you have already signed, and you can draw your own conclusions. We are simply telling you which of them you will never meet here.

Trapping you

  • Charging a multiple of your remaining contract value to leave early
  • Auto-renewing you into another multi-year term unless you catch a notice window
  • Putting a non-compete on you, restricting your business after you leave
  • Software that only works with hardware we happen to sell

Bending the truth

  • Advertising a price for a plan that leaves out the feature you actually called about
  • A published price that quietly depends on you also using our payment processing
  • Marketing a capability the software does not contain
  • Hiding what is included and excluded in the styling of a comparison table
  • “Contact us for pricing” so that different customers can be charged differently
  • Closing a deal on a roadmap promise nobody intends to schedule
  • Manufactured urgency, invented scarcity, reviews that are not real

The one we care about most is the last group. Achievements, personal bests and leaderboards are good fun for a young driver. “Your streak ends in two days” sent to an eleven-year-old is not, so we do not send it — anything of that kind goes to the guardian, through the family account, or not at all.

What does it cost?

It starts at $459 a month for the platform, plus your bookable units and whichever activity packs you run — so a twelve-rig sim racing center is $807 and a twenty-four kart track with simulators and a kitchen is around $1,241. The whole rate card is published on the pricing page, because you should not have to sit through a sales call to find out whether we are in your budget.

Do we have to change our phone number?

No. Keep the number your signage and your reviews already point at — you point it at VenueChief and calls route through your own rules. If you would rather start fresh, we can provision a new number instead. Either way the call, the voicemail and the transcript end up on the caller’s record next to their bookings.

Can guests change a booking themselves?

Yes — from their account on your website, a guest can cancel and book again under the rules you set, without ringing you. They can also see their gift-card balance, their membership and their children’s waivers there, which is where most of your inbound calls come from today.

Will you raise our price later?

Not during your term, and not without notice. Your price is fixed for the length of your agreement, and we give ninety days’ written notice before any change after that — long enough for you to plan, or to leave if you would rather. We also do not charge existing customers more than new ones for the same thing.

What are we signing up to?

Month to month, or annual if you would like two months free. There is no multi-year lock-in, no auto-renewal into a further long term, no early-termination penalty and no non-compete on you. You can cancel from your own account rather than by calling somebody. If we ever make it hard to leave, we have failed at something more important than the contract.

We already have timing hardware. Do we have to replace it?

No, if you run MyLaps X2. VenueChief integrates natively through the official MyLaps SDK, and an on-premise appliance bridges your decoder to the cloud — buffering every passing during an internet outage and draining it in order when the link comes back. If you have no timing hardware at all, a manual timing mode runs the full heat and results pipeline without it. Other timing brands are not supported today, and we would rather tell you on the first call than the fourth.

Which racing titles are supported?

rFactor 2 and Le Mans Ultimate are fully operable — full race weekends, live timing, phase control, AI opponents and in-session control. Assetto Corsa hosts sessions and records results, with a narrower control set. iRacing, Assetto Corsa Competizione, Automobilista 2 and RaceRoom are not supported. Titles are configuration rather than code, so the catalog is built to grow.

Who processes our payments, and do you take a cut?

Stripe, for both online and card-present. If you use VenueChief Payments we earn a small share of the interchange — a fraction of a percent — and it does not change the rate you pay. We are telling you because you should not have to discover it later. You are also free to use your own processor; that choice is yours and we will not price you differently for making it.

We have more than one location.

Two or three sites work well — each has its own inventory, staff, pricing and reporting, and you switch between them. What we do not have yet is a single screen that rolls every location into one figure, so if consolidated group reporting is the thing you need most, we would rather say so now.

What happens to our data if we leave?

It stays yours. We do not claim ownership of your guest data, we do not sell it, and we do not use it for anything except running your venue. Cancelling a licence stops the software and preserves the data. Pages export and import through the standard content format, form submissions export to CSV or JSON, and the public API exposes bookings, customers, results and orders so you can extract anything programmatically.

Do we have to share your faith to be a customer?

No. Our beliefs shape how we treat you, not who we will serve. Every customer gets the same price, the same contract and the same support, and we would consider it a failure if you ever felt otherwise.
